Premier League Football Club Customer Case Study

A Premier League Football Club partnered with UMA to integrate innovative smartbuilding technology platform to quickly implement a post-pandemic return to work solution in its Football Stadium, workplace and satellite offices.

The club is one of the world’s most prestigious football teams and a globally recognisable brand. It’s UK Football Stadium is home to its operations along with a number of other satellite offices, employing over 800 people.

UMA’s unique approach to workspace optimisation uses a combination of years of experience in workplace technology, an open software platform delivering business intelligence pulled from data points and a human-centred design approach to end-user applications. This enables buildings to digitally transform and adapt to the changing needs of the workplace.

The intuitive software allows its clients to monitor workplace resource utilisation and capture actionable insight to create an efficient and safe working environment, enabling a healthy workplace and the potential to reduce operational costs and carbon footprint.

The Challenge

The return-to-the office following the lifting of covid restrictions in summer of 2021 by governments presented many businesses with the challenge. The benefits of bringing teams back together in a shared workspace to collaborate were acknowledged and many employees expressed a desire to return to the office.  The safety, health and wellbeing of the workforce has always been a top priority for many businesses so managing the safe return of employees was critical.

The forced social experiment that resulted from the pandemic resulted in improved work-life balance for many people. Even the most traditional organisations came to the realisation that remote working does not necessarily reduce productivity and in some instances can even improve it.  The pattern we are now seeing in the workplace is the adoption of flexible and hybrid working models.

The challenge for this Premiership Football Club was no different. The workforce needed to return to the office in preparation for the new season and the Club needed to ensure that a smart building solution was in place to help them manage social distancing, obtain contact tracing information and analyse occupancy to understand how the office space is utilised on a weekly basis.

The Solution

UMA designed a modular asset booking solution that provides an easy-to-use booking app for a general user and dashboard data and analytics for management by IT staff to release the future potential of spaces. The solution delivers on the primary objective of monitoring and managing return to work booking occupancy at desks, provides a control and analytics dashboard, and improves the user experience for booking meeting rooms.

At first, installation requires no sensors for occupancy metrics, purely a bookable resource solution for users via the UMA application and dashboard analytics and data for IT.

The Solution

The future potential of this solution includes the ability to install sensors for desks, spaces, and meeting rooms, whilst also the ability to provide device management of IT equipment enabling remote diagnosis, fix, software updates and where available firmware over-the-air (FOTA).

The UMA SaaS solution will be made available in this initial rollout across 637x Desks and 23x Meeting Rooms, as detailed in CSV resource files received from the Premier League Football Club. The first phase of return-to-work strategy with a focus on desk and meeting room booking.

UMA book and vision portal will be rolled out to this Premier League Football Club to have staff book hot desks & meeting rooms at their offices via the UMA phone app, Uma site, OR via the UMA bot on MS Teams.

The UMA vision platform shall show dashboards and live booked state of these resources (hot desks & meeting rooms).

The Results

The results were immediate and the Premier League Football Club can now manage the return to work of their employees using UMAs booking system, enabling them to view live staff occupancy at desks via the analytics dashboard.

Once the Governments Return to Work strategy was announced, we engaged with UMA to support our planning and delivery to meet the deadline. As this did not leave much time after the Governments confirmation, we needed to move fast to get a platform in place to mange our Staff in returning to the office

Our commitment to ensure our staff’s safety and adhere to government guidelines was paramount in our selection process, UMA easily helped us to meet those requirements

A solution was needed to manage desks and room bookings and ensure a flexible approach to Social Distancing. The UMA solution provided a user experience that allowed us to adjust those parameters using a simple slider bar on our digital floormaps to define desks which should be considered as non bookable.

During the initial implementation, our requirements changed and the reporting data needs became clear. The UMA Team’s Feature Request Process allowed us to collaborate easily with their Product Team and they responded quickly to deploy new features delivering critical business intelligence around Resource Reports and Contact Tracing. The UMA Roadmap was made clear to us and we appreciated how this was adapted to meet our specific needs.

We have been impressed by UMA’s flexibility with respect to changes and responsiveness through a complex project with changing requirements that ultimately allowed us to provide reassurance to our workforce.

The UMA platform has provided us with the ability to make informed data-driven decisions across the business, enabling improved internal communications at a critical time. Moving forward, the benefits of the software to our property services group in planning and optimising office space will become invaluable.

The end result is that the transition of our people returning back to the office was managed in-line with the aggressive timescales we had set, and UMA allowed us to monitor the number of staff returning to ensure a safe and effective process.
